Why invoice numbers matter
An invoice number is how you, your client, and (if applicable) tax authorities uniquely identify a specific invoice. It matters more than it might seem: it's referenced in payment records, bank transfer descriptions, accounting software, and any later dispute or audit. Two invoices sharing a number — or numbers issued out of order with gaps you can't explain — can create real confusion and, in some jurisdictions, compliance problems.
The one hard rule: never reuse a number
Whatever scheme you choose, each invoice number should be unique and should not be reused — even if an invoice is cancelled or replaced. If you need to cancel or correct an invoice, issue a new document (such as a credit note) referencing the original number, rather than reusing that number for something else.
Common numbering schemes
There's no single required format — what matters is that it's unique and consistent. Common approaches:
- Simple sequential: INV-0001, INV-0002, INV-0003…
- Year-prefixed: INV-2026-001, INV-2026-002… — resets or continues each year, making it easy to see at a glance when an invoice was issued.
- Client-prefixed: ACME-001, ACME-002… — useful if you want each client's invoice history to be independently traceable.
- Date-based: 20260918-01 — encodes the issue date directly into the number.
Picking a scheme
For most freelancers and small businesses, a simple sequential or year-prefixed scheme is enough — it's easy to maintain by hand and easy for anyone reviewing your invoices later to follow. Client-prefixing is worth considering only if you issue a high volume of invoices across many clients and want to keep each client's numbering independently ordered.
Staying consistent
Whichever format you pick, stick with it. Switching formats halfway through the year (or between clients, inconsistently) makes your own records harder to follow and can look disorganized to clients and accountants alike. If you do need to change your scheme, it's worth doing so at a clean break point, such as the start of a new year.
