How invoice VAT works

VAT (Value Added Tax) is calculated per line item as a percentage of that item's taxable amount — the line subtotal minus any discount. The invoice then totals the tax across all lines and shows it separately from the subtotal, so both you and your client can see exactly how much tax was charged.

Setting your tax rate

Every line item has its own tax percentage field, defaulting to 0%. Enter your local VAT or sales tax rate (for example 5%, 15% or 20%) per item — useful when some products or services are taxed differently or exempt.

What the totals mean

  • Subtotal — the sum of all line items before tax and discount.
  • Discount — any percentage discount applied per line.
  • VAT / Tax — the total tax calculated on the discounted amount.
  • Total — the final amount due, including tax and any shipping charge.

Can I set a custom VAT or tax rate?
Yes. Each invoice line has its own tax percentage field, so you can apply different rates to different items, or leave it at 0% where no tax applies.
Does the invoice show a VAT breakdown?
Yes. The totals section shows the subtotal before tax, the total VAT/tax amount, and the grand total including tax.
Is this suitable for UK, EU, GCC or other VAT/tax regimes?
Yes — the tax percentage field and the Tax / VAT Number field are generic, so this works for UK VAT, EU VAT, GCC VAT, GST or any sales tax system worldwide.
Does discount apply before or after VAT?
Discount is applied first, and VAT is calculated on the discounted (taxable) amount — the standard approach used by most tax authorities.
